By checking this box I agree to all terms and conditions listed below.Booth Construction & Finishing Each booth will be provided with attractive flame-proof draperies with metal or aluminum fixtures. Pipe and drape colors are black/ white. Booth height restrictions: back/inline 8’, back/perimeter 12’ and 36” high on the sides for the benefit of neighboring booths. Displays must not obstruct the view of adjoining exhibitor(s) space, nor permit such exhibits to be placed or operated in any manner objectionable or offensive, in the reasonable opinion of Home & Garden staff. Any part of the exhibit that is beyond these dimensions must have prior written approval for installation by the Event Manager or may be removed by event staff. The exposed backs and/or sides of all booths must be draped or finished so as to not mar the adjoining display. You may not use nails, tacks, duct tape, glitter, confetti, or silly string in Island Grove's facilities. Gaffer tape and Command Strips are the only approved adhesives for all surfaces. Display materials must be confined to avoid tracking into aisles or other booths (i.e. mulch). When helium Mylar balloons are used for decorating your booth, a $25 fee may be assessed to cover damages with the balloons and string. You may not use nails, tacks, duct tape, glitter, confetti, or silly string in Island Grove's facilities. Command Strips are highly recommended. Assignment of Space Contracts are dated as they are received. Assignment will be made by the event manager/staff based on package purchased and on a priority basis determined by availability of space at the time of receipt of deposit and signed contract. The Greeley Tribune will make every effort to accommodate booth space requests with consideration, not guarantees. The show producer reserves the right to adjust assignments and rearrange floor plans in order to separate competitors. Should changes be deemed necessary, consideration to all parties will be made. Delay in payment may jeopardize placement. Your sales manager may take any requests on your behalf and discuss ideas with you for your best success, but no placement guarantees will be made unless the Event Manager also approves. The Northern Colorado Home & Garden Show Event does not allow businesses to choose their placement on the map before, during or after registering for a booth space. As stated above, we will take requests and determine placement in the show based on the 1st paragraph in this section. Booth Space/Use The exhibitor agrees to occupy the contracted exhibit space during all show hours and to sell, promote or advertise only the products and services described in the signed agreement. No booth shall be offered for use or sublet by a vendor. If you have written permission, you may occupy the space for a limited time, but this is determined on a case by case basis; no partial refunds or discounts will be granted and you must have some form of setup ready to go by the start of the 1st show date. Unoccupied Spaces If the exhibitor fails to occupy space contracted one hour prior to the show opening on Friday, March 8, 2024, or fails to comply in any other respect with the terms of this agreement, the event manager shall have the right to use such space in any manner without releasing the exhibitor from paying the sum agreed upon with this contract. Use of open space may then be requested by others and will be subject to fees. Limitations No engines using gasoline may be operated on the floor during the Show. Gasoline tanks must be no more than one-quarter full. Tape or a lock-cap must be affixed to the gas tank and all batteries disconnected. Approval of vehicle placement must be confirmed prior to disabling batteries. Propane use for open fire/flame or any other displays must be submitted and approved to the Event Manager ASAP. These displays must be approved by the Greeley Fire Marshal and a permit must be granted. Failure to communicate these needs will result in the vendor losing the ability to display such items. Music or audio-visual sound must not be audible more than 8 feet from the booth. Displays, demos, mascots and/or distribution of advertising material and those staffing an exhibit are restricted to the confines of the exhibitor’s assigned booth unless approved by the Event Manager and AWAY from vendor’s competition businesses. NO WORKING THE AISLES. Violators of these policies will receive one warning. Payment of Exhibit Space All booth space fees must be paid in full BEFORE an exhibit may be set up on the show floor. All booth payments are due on or before Feb. 23, 2024. Agreement applications submitted after Jan. 2, 2024 must be accompanied by full payment. Contact your Event manager prior to the show if you think your exhibit is in jeopardy due to non-payment. The exhibiting company is ultimately responsible for the payment of all charges. In the event that an exhibitor fails to make payments in accordance with the payment schedule set out herein, or fails to appear at the show, The Greeley Tribune reserves the right to cancel this agreement, retain any payment made as liquidated damages (not as a penalty) for breach of this agreement, and re-rent said space. Refunds Deposits (if applicable) are non-refundable and non-transferable. No refunds will be made if space engaged is not used or used only part of the time. No refunds will be made within 30 days prior to the show. All cancellations must be submitted in writing to the event manager. Installation & Load-Out Detailed vendor information packets will be delivered via email prior to the event. Exhibitors will be given a specific date and time for load in. Exhibitors must check in at Event Office prior to any load in and are asked to check out prior to leaving at the end of the Show. Booths must be set up and ready for opening for staff review no later than one hour prior to the opening of the show, March 8, 2024. The vendor info packet will include an overview of set up including load-in/load-out scheduling, drive in availability and arrangements. Please notify the event manager for special set up requests. All exhibits must remain intact until the close of the show. Exhibitors will have until 8:00 p.m. Sunday and 8 a.m. to 5 p.m., Monday, March 11, 2024 to complete removal of exhibits. Large displays will be provided with an extended schedule. During load-out, be packed and ready to move out before bringing your vehicle to the doors or inside (drive in is not guaranteed). A fee of $50/hour will be assessed to and collected from any exhibitor/sponsor with disregard for the outlined load-out schedules (including early load out). Care of the Facility and Exhibits Exhibitors will be responsible for any damage done to the building by them, their agents, or employees. All property destroyed or damaged by Exhibitor must be returned to its original condition by the Exhibitor at the Exhibitor’s expense. Walls, doors, dividing partitions, sidewalks, walkways, garage doors and the floor of the building must not be defaced or altered in any manner whatsoever. No nails or bracing wires used in erecting displays may be attached to the building. Exhibitors will be required to keep their booth displays neat and orderly, with due regard to the safety of the public throughout the Show. Use of unapproved materials (i.e. duct tape residue, or materials mentioned above) will also result in the exhibitor to be responsible for any and all repair and labor costs. Exhibitor Safety Standing on chairs, tables or other rental furniture is prohibited. The Greeley Tribune nor Island Grove will not be responsible for injuries caused by improper use of furniture. If assistance is required, please notify the Event Office or an Island Grove Staff member. Parking Exhibitors must park in the parking lot west of the two event buildings after set up, until designated time and preparation for load out. Absolutely no parking allowed in fire lanes or handicapped spaces (permit pending). You will be towed. Company vehicles are prohibited from parking around the building and driveways without reservation. These spaces are for the public or by prior reservation only (limited availability). Company vehicles should otherwise use the west lot or far east lot as a courtesy to the public. Violators will be asked to move and/or pay fees for front display. Security Security guards will be on site each show day. They are there to safeguard your interests. Exhibitors are asked to give full cooperation. It is highly recommended that cash boxes are not left unguarded during the show and removed each night. All entrances / exits will be closed and locked no later than one hour after the show closes each event day and opened and unlocked no earlier than one hour prior to the show opening. Vehicles, displays, food trucks, etc. that are left outside each evening should be locked up and no personal belongings, cash boxes, keys or anything of value should be left behind. Our security team will make hourly rounds of the 2 buildings including any locations with displays Friday-Sunday. Neither Management nor its agents will be responsible for any personal injury to the Exhibitor or its agents, employees or guests, or for the safety of the exhibits against theft, or for damage by fire, accidents or other causes. The Exhibitor assumes all risk and is urged to take all such steps, measures, and precautions as necessary to protect itself, its agents, representatives, employees and guests, as well as exhibits, displays and property; against all possible injury, damage, loss, and destruction at the show and during move in and out. Liability Exhibitor shall at all times (move-in, show days, move-out) protect, indemnify, save and hold harmless Management, against and from any and all loss, cost, damage, liability, or expense arising from, or out of, or by reason of any accident, or other occurrence to anyone, including Exhibitor, its agents, employees, and business invitees, which arises from or out of, or by reason of, Exhibitor's acts or omissions, or occupancy and use of the exhibition area or hall or a part thereof. It is understood that all Exhibitor’s property shall remain under the Exhibitor’s custody at all times. At no time will Management be responsible for Exhibitor’s property. Exhibitor shall, at its expense and as a material part of this Agreement, obtain insurance to cover its exhibit material against damage and loss, and public liability insurance against injury to the person and property of others. This insurance shall name Management as an additional insured. Copies of such insurance shall be provided to Management upon request. Eventualities In case of facility damage caused by fire, other elements or causes, or in case other circumstances shall make it impossible for the Greeley Tribune to permit the contracted space to be occupied by the exhibitor, then this lease shall terminate and the exhibitor shall waive any claim for damages or compensation except the prorated return of the amount paid for space rental. *All information subject to change without notice. Taxes & Concession Fees All exhibitors are reminded that to sell “cash and carry” products during the show, you must comply with all rules and regulations required by the City of Greeley and the State of Colorado. The Northern Colorado Home & Garden Show does not collect taxes from our vendors at the close of the show, that responsibility is left to the vendor. Because of this, if you are selling products at the show for profit, you must obtain a special event license to do so. Please visit https://tax.colorado.gov/special-event-license#:~:text=To%20apply%20for%20a%20Special%20Event%20License%2C%20download%20the%20Special,the%20Colorado%20Department%20of%20Revenue to download and submit your application, applicable fees and anything else required by the state at this time. Be sure to retain a copy of your completed Special Event Sales Tax Application (DR 0589) for your records. This copy will serve as your temporary license until you receive your official license. Vendors MUST bring their license with them to the show; often times a representative from the state will stop by and check that vendors making sales have the appropriate paperwork. If you fail to obtain a license and/or bring it to the show, the Home & Garden Show has no other option, but to ask the vendor to leave until appropriate paperwork is provided. Submitting city and state taxes is the responsibility of the vendor after the conclusion of the show. Visit https://tax.colorado.gov/special-event-sales-tax. The seller's return and payment must be filed and remitted by the 20th day of the month following the month in which the special event began. If the 20th falls on a Saturday, Sunday, or legal holiday, the return and tax remittance is due the next business day. Food & Drink Only Concessionaires are allowed to sell or give away food and beverages and must follow all guidelines highlighted on the Concessionaire registration page. Exhibitors may distribute pre-packaged, factory-sealed candy or small snacks; however, you MUST communicate any food related giveaways and handouts to the event manager prior to the opening of the show for health department regulations. All matters not covered in these expectations and regulations are subject to the decision of the event manager. The decision must be accepted as final should any disagreement arise or in the decision to remove from the show any exhibitor or representatives performing any act or practice that, in the opinion of the Event Manager, is objectionable. Island Grove Facility has a “Preferred Vendor” list. If you are not on the list and participate in the Northern Colorado Home & Garden Show, you must pay 15% of all food and beverage sales and payment MUST be turned in to the Event Manager before you leave on Sunday, March 10th, 2024.
